Canoeman River Guide Services Cancellation Policy
Canoe for Cancer

Offering professional services that take care of the needs of clients is the top prioroty of Canoeman River Guide Services. Trips are carefully planned to provide the most enjoyable, safest and most economical outtings possible. Trip planning takes time, effort and expense involving outfitters, accommodations providers, food vendors, shuttle operators and others in addition to CRGS. Whenever CRGS books a trip for a client it sets aside its time and services from other potential clients, as well as the time and services of affiliate vendors, for the benefit of a client booking a trip.

In order to meet those requirements and maintain a high level of quality, as well as client satisfaction, CRGS requires that trips be planned no less than 45 days in advance, and payment in full is expected no less than 45 days before the start of a trip. Exceptions can sometimes be made, but no guarantees of availability of services, either by CRGS or its affiliate vendors can be guaranteed until deposits are received and trips are confirmed. Typically, advance reservation deposits to outfitters for boat rentals, shuttle services and campgrounds, as well as food vendors, are required by those offering the services, and each usually has a cancellation policy that retains deposits made in the event of late cancellations. This is done because businesses set aside revenue-generating services and personnel that could otherwise be offered to other potential clients. Cancellation fees prevent the total loss of revenues caused by termination of trips too late to secure other clients for those dates.

Deposts of Fifty Percent (50%) of the full anticipated trip cost are due and payable no less than sixty (60) days in advance of the trip start date. No trip will be booked, nor dates reserved, until the deposit has been received by CRGS. The balance of payment is due no less than forty-five (45) days in advance of the trip start date. These rules may be waived by CRGS if a trip can be successfully planned and provided without compromising the safety of clients or quality of the trip provided affiliate vendors agree to the shorter planning period and have services available.

CANCELLATION POLICY: Trip deposits or payments for cancellations made more than forty-five (45) days in advance of the start date will be refunded in full less a $100 fee for time, expenses and effort made to secure reservations and plan the trip. Cancellations occurring less than forty-five (45) days, but more than thirty (30) days in advance of the start date will be charged a fee equal to ten percent (10%) of the projected total trip cost. Cancellations occurring less than thirty (30) days, but more than fifteen (15) days in advance of the start date will be subject to a cancellation fee equal to twenty-five percent (25%) of the projected total trip cost. Cancellations occurring less than fifteen (15) days in advance of the start date will receive no refund.

If a trip is cancelled within 45 days of its start date and CRGS can successfully book another client for those same dates utilizing the same affiliate services as the cancelled trip would have required, then cancellation fees will be waived. If a client cancels a trip, and later reschedules the same trip within six (6) months of the cancelled trip start date, then CRGS will calculate the cost of the rescheduled trip at the then-current rate less $100 of deposits retained after the original cancellation. Determination of whether or not to provide refunds will be the sole right of CRGS, and all decisions will be final.

FORCED CANCELLATION POLICY: On occasion it may become necessary to cancel or postpone a trip due to weather or river flow conditions which are either unsafe or undesireable for a quality trip. In such situations CRGS will either reschedule trips for other available dates convenient for its clients, or will refund, in full, all deposits and payments made by clients, whichever is preferred by the client.
